Manage and edit customer quotes

Learn how to manage and edit customer quotes in the Phasio manufacturing platform

Phasio’s platform lets manufacturers manage all customer quotes from a central dashboard. The interface is built to help you quickly organize, filter, and process quotes to stay on top of incoming requests.

This guide explains how manufacturers manage and edit quotes using the backend system.

Access your complete quotes database by navigating to Quotes > List from the main sidebar.

Accept or reject quotes

Accept quote

Review each quote carefully before proceeding. Once you're confident the details are accurate and ready for production:

  1. Open the quote.
  2. Click Accept in the top-right corner.
  3. Enter the PO number and optional customer message.
  4. Click Accept to confirm.

👉 The quote converts to an order and the customer receives an acceptance notification.

⚠️ Ensure payment is received before proceeding with production.

Reject quote

If you’re unable to proceed with a quote — due to feasibility, missing details, or other reasons — you can reject it.

  1. Open the quote.
  2. Click Reject in the top-right corner.
  3. Enter a customer message.
  4. Click Reject to confirm.

👉 The quote will be archived, and the customer will be notified of the rejection.

Edit a quote

To edit a quote, open the quote and click Edit in the top-right corner.

Part specifications

Update quote details during customer negotiations. Phasio allows these changes:

  • Add parts: Click Upload Part to include new files in the quote.
  • Edit specifications: Click on a part to update technology, material, color, and post-processing parameters.
  • Change pricing: Click on a part, toggle Manual Pricing, and enter a custom price.
  • Delete parts: Right-click on the part and select Delete.

☝️ Power user tip: Right-click on any part to quickly access and modify specifications.

Shipping method

To change the shipping method, navigate to the Shipping section and select your preferred option from the dropdown. For advanced shipping customization, refer to shipping configuration documentation.

Expenses

To add additional expenses to a quote, click + in the Expenses section:

  • Name: Charge description.
  • Description: (Optional) Charge details.
  • Type: Select Fixed Price or Hourly Rate.
  • Price for Them: Customer charge amount.

Click Save in the top-right corner to finalize updates.

Delete or hide quotes

  • To delete a quote, simply reject it. This removes the quote from your active workflow and archives it in the system.
  • To hide a quote from the customer without rejecting it:
    1. Click Edit to open the quote's detail page
    2. Toggle Internal Only in the top-right corner

👉 This will hide the quote from the customer’s dashboard and stop any related notifications, while keeping it visible internally for your records.
